FAQ

General information

If your paper has been accepted, you can download a personalised letter of invitation in the ConfTool system. After logging in, click on “Invitation and Confirmation for Presenting Authors” and you will be prompted with a download of a pdf file with all the necessary information. Depending on your browser settings, you may need to allow pop-ups or instant downloads.

Please be mindful of the time constraints and the fair allocation of time to all as you plan your talk and your session. Conference panels are one hour and forty-five minutes in length and generally consist of:

  • a chair, allotted a total of 5 minutes for panel and presenter introductions;
  • 3–5 panelists, allotted 10–15 minutes each;
  • a discussant, allotted 10 minutes;
  • followed by 30 minutes for questions and discussion.

The chair of the respective session should specify the times allocated to each speaker for presentation and is responsible for managing the time. As a curtesy to the other panellists and audience members, presenters who exceed their allotted time will be asked by the chair to stop their presentation.

All conference rooms are equipped with an overhead projector, PC, and speakers. No other audio-visual equipment will be provided. For Mac laptops: Be sure to bring the necessary cables to connect your Mac laptop to the projector. Free Wi-Fi (network name: ut-public) is available in all conference rooms. Presenters are advised to bring their presentation on a USB memory stick and should arrive at least 10 minutes before the start of the session in order to transfer it to the computer in the presentation room. The room staff will be on hand to assist you to upload your file to the computer.

We are planning a fully in-person conference. Limited opportunities for online participation will be available only for participants unable to travel due to military hostilities (primarily, this applies to scholars physically based in Ukraine).

Once your proposal has been accepted, send an email to info@tartuconference.ut.ee describing your situation and expressing the wish to participate online. We will send detailed instructions on how to participate online closer to the dates of the conference.

Application process

A conference participant may appear on the programme in no more than two sessions (panels or roundtables) and may present only one paper during the conference. However, a participant may appear as a co-author of another paper presented by another participant. There are no limits on session chairs.

We do not plan to publish your papers or otherwise make them public. Thus, we do not set any specific requirements regarding the size or format of the papers, but usual common-sense academic rules do apply.

The basic assumption is that scholars go to conferences to present their research and get feedback from their colleagues. If your paper is part of an organised panel, ask your panel organiser about any specific instructions they might have. Alternatively, think about how to frame your paper in a way that presents your argument in a fully developed yet concise form. In terms of length, it probably means at least 3,000 words, preferably close to 5,000, but no more than 10,000, since long papers are undue burden for the discussant.

You can edit your proposal until 20 February in ConfTool. If you wish to make changes to the title or abstract after that date, contact the organisers at info@tartuconference.ut.ee.

Registration and fees

When making an online payment, tick ‘I would like a receipt after payment’ and the invoice will be sent to your email shortly after the registration and successful payment. When paying by bank transfer, an unpaid invoice is sent to your email with payment details to proceed with.

Send an email to info@tartuconference.ut.ee attaching confirmation of your student status (such as a valid student ID or a letter from your university). We will send you a discount code that you can use during registration.

Unfortunately, CEURUS has no funding available to cover participants’ travel and participation costs.

The only exception to this pertains to Ukrainian scholars: for scholars affiliated with Ukrainian institutions, participation fee of the 2024 Conference will be waived.

Guest registration opens at the same time as participant registration (20 February) and continues until 14 June. You are also welcome to volunteer as a panel chair or a discussant by sending an e-mail to the conference address.

Managing your submission

To upload your paper, please login to ConfTool, go to ‘Your Submissions’, and click on the highlighted link ‘File Upload’. This function is only available from around one month prior to the conference.

In case you are unable to submit your paper in time, please contact the chair and discussant of your panel to negotiate a later submission. Note that a failure to do so will be considered a violation of academic best practices. The information on assigned chairs and discussants can be found in ConfTool under ‘My Submissions’.

Should you find out that you are no longer available to take part in the conference, please notify the organisers as soon as possible by writing to info@tartuconference.ut.ee. A timely cancellation allows us to offer your place to another participant. Before the submission deadline, you can also withdraw your contribution from ConfTool under ‘Your Submissions’.

Travel and accommodation

Should you require a visa to enter Estonia, please contact conference organisers, who will be able to provide you with the official invitation needed in the visa process. The organisers can only provide invitation letters to presenters of the conference. Please state the following information about the person for whom the visa invitation is meant in an e-mail to info@tartuconference.ut.ee: full name (as it stands in passport), citizenship, sex, date of birth, place of birth, passport number, issue and expiration dates of the passport, name of the issuing authority of the passport, the particular Estonian Embassy or Visa Centre where you wish to apply for the visa. A more general visa invitation is also available for download from your ConfTool account once your paper has been accepted.

Venue

You can contact the registration and information desk for possible lost items that were found in the premises during its working hours. The working hours of the desk can be found in the programme.

The coffee breaks and dinner provided at the conference include drink and meal options accommodating the following dietary needs: gluten-free, lactose-free, vegetarian, and vegan.
