Conference registration

Conference registration will close on June 17th.

Important information

The regular and student fee includes: admission to all presentations, workshops and keynote talks, coffee breaks and lunch on all 3 days, welcome snacks and wine, social programme on 2nd night, as well as conference dinner. Accommodation, travel, and the optional half-day nature tour (find more here under Social programme) on the last day is an additional cost to attendees, and therefore not included in the registration fee.

The fee of accompanying person covers welcome snacks and wine, social programme on 2nd night, and conference dinner.

Once the card payment has been successful, the system will automatically send an invoice to the e-mail address provided by the participant.

When entering the data, it is important to consider the name of the person to whom the invoice is to be sent – it is not possible to change the invoice later.

If the participant registers his/her payment request in the card payment environment and selects bank transfer as the payment method, the university bank account details for the payment will automatically be sent to the e-mail address provided by the participant.

We use the data entered in the registration form to share information related to the event before and after it takes place. The data will be stored until the end of 2025.

Photos will be taken at the event, which will later be shared publicly.

Applying for a visa

Should you require a visa to enter Estonia, please contact conference organisers, who will be able to provide you with the official invitation needed in the visa process. The organisers can only provide invitation letters to presenters of the conference.

Please state the following information about the person for whom the visa invitation is meant in an e-mail to iarep2025@ut.ee:

  • Full name (as it stands in passport)
  • Citizenship
  • Sex
  • Date of birth
  • Place of birth
  • Passport number
  • Issue and expiration dates of the passport
  • Name of the issuing authority of the passport
  • The particular Estonian Embassy or Visa Centre where you wish to apply for the visa

Estonian Ministry of Foreign Affairs’ website suggests that the usual processing time for short-term (C-type) visa applications is 15 calendar days, but we advise you to check with embassies/consulates of Estonia or a country that operates on behalf of Estonia if you need to make an appointment in advance.

Restrictions on accepting visa applications for Russian citizens

The Government of the Republic of Estonia has imposed a restriction on citizens of the Russian Federation applying for short-term visas from 19 September 2022. Visa applications for conference travel are not accepted until further notice. If you already have a Schengen visa or other documents valid for entry, please make sure you can travel to Estonia before proceeding with conference registration.
